About the Role

We are looking for an Executive Assistant to support our General Manager and some support for our SVP of PRL for a fast paced, dynamic organization, specifically, the Pandemic Response Lab. We are looking for someone who is insightful, goal oriented and works well independently with little guidance. This person needs to have a high sense of curiosity, high emotional IQ, strong attention to detail and strives for excellence. Due to the startup nature of our organization this person needs to be able to be highly proactive, adapt quickly, is good with ambiguity and comfortable with constant change. 


  • Multi-faceted calendar management

  • Act as a gatekeeper, ensuring Executives are prompt, on time, and prepared for all meetings

  • Prepare & track expense reports, help tickets, purchase orders and contracts

  • Assist with the coordination and preparation of complex documents and presentations

  • Follow up on action items as appropriate

  • Understand overall department and company priorities and goals, and align schedules and meetings accordingly

  • Provide effective and expeditious meeting coordination including agendas, notes and follow-up

  • Partner with other company Executive Assistants to collaborate, schedule meetings, prioritize critical path items, solve problems, and obtain information to ensure smooth day to day operations

  • Coordinate internal and external meetings, logistics, agendas and communications

  • Monitor and prioritize day-to-day incoming communication and requests

  • Handle all travel arrangements including flights, hotels, ground transportation; obtain visas, passport renewals, or any other travel documents, without the assistance of an agency


  • Must show proof of vaccination

  • Previous experience working in a fast paced, high pressure environment

  • Previous experience working for C-Suite Executives

  • Proven ability to multitask and prioritize

  • Proven ability to independently exercise sound judgment, prioritize appropriately, show initiative and problem solve

  • Capable of building strong relationships with other individuals and departments in order to accomplish tasks and achieve goals

  • High degree of flexibility and adaptability; including the ability to work outside of regular business hours

  • The ability to operate effectively in a fast-paced environment with little supervision

  • Outstanding planning & organizational skills and meticulous attention to detail

  • Respect for confidentiality and discretion to properly handle sensitive information

  • Ability to confidently interface with executive-level contacts inside and outside the company

  • Ability to work with a diverse group of colleagues that are located in different time zones

  • Proven competency using MS Office and Google applications and the ability to learn new platforms quickly
